Understanding Full-Time Mode
What is Full-Time Timesheet Mode?
Full-Time Mode is designed for organizations where employees: – Work regular or flexible hours (not shifts) – Manually log time worked – Track time by project, client, or task – Submit timesheets for approval periodically – Focus on deliverables rather than clock-in times
Who Uses Full-Time Mode?
Typical Users: – 💼 Consulting firms – ⚖️ Law offices – 💻 IT and software companies – 🎨 Creative agencies – 📊 Accounting firms – 🏗️ Engineering companies – 🏢 Corporate offices with salaried employees
How It Works
Employee's Workflow:
1. Work on projects/tasks throughout day or week
2. Log hours manually in Office 1 Solution
3. Allocate time to projects/clients/categories
4. Mark hours as billable or non-billable
5. Submit timesheet for approval (weekly, bi-weekly, or monthly)
6. Manager reviews and approves
7. Approved timesheet sent to payroll/accounting
Key Differences from Scheduling Mode
| Aspect | Full-Time Mode | Scheduling Mode |
|---|---|---|
| Time Entry | Manual entry by employee | Auto-generated from clock in/out |
| When to Log | Daily or weekly | Real-time clock in/out |
| Focus | Projects and deliverables | Shifts and attendance |
| Scheduling | No formal shifts | Detailed shift schedules |
| Typical Users | Salaried, project-based | Hourly, shift-based |

Best Practices
For Employees
Time Entry Best Practices:
✓ Log Time Daily – More accurate than waiting until end of week – You remember details better – Easier to track project progress – Reduces last-minute rush
✓ Be Specific in Descriptions – Good: “Developed user authentication API endpoint” – Bad: “Coding” – Include what you accomplished, not just what you did
✓ Round Appropriately – Follow your org’s rounding policy – Be honest with time estimates – Don’t inflate or deflate hours
✓ Review Before Submitting – Check totals make sense – Verify project allocations – Ensure descriptions are complete – Look for obvious errors
✓ Submit On Time – Don’t wait until deadline – Give manager time to review – Avoid payroll delays
✓ Communicate Issues – If you made a mistake after submission, tell manager – If you’re unsure about project allocation, ask – If you need clarification on billable hours, request guidance
For Managers
Approval Best Practices:
✓ Review Timely – Don’t wait until last minute – Aim for 24-hour turnaround – Employees appreciate quick feedback
✓ Be Consistent – Apply same standards to all team members – Document and communicate expectations – Fair and objective reviews
✓ Provide Constructive Feedback – If rejecting, explain what needs fixing – Help employees improve accuracy – Recognize good timesheet practices
✓ Monitor Project Budgets – Track budget utilization during review – Alert team when approaching limits – Plan for budget adjustments if needed
✓ Use Exceptions as Teaching Moments – If you see patterns, address them – Provide training if needed – Update team guidelines
✓ Communicate Expectations – Share timesheet standards with team – Provide examples of good descriptions – Clarify billable vs. non-billable rules
Organizational Best Practices
Set Clear Policies: – Define billable hour expectations – Document description standards – Establish approval timelines – Communicate consequences of late/inaccurate timesheets
Provide Training: – Onboarding training for new employees – Refresher training annually – Manager training on approval processes
Regular Audits: – Spot-check timesheet accuracy – Review project allocations – Ensure compliance with policies
Gather Feedback: – Ask employees about pain points – Continuously improve processes – Update templates and categories
FAQ
General Questions
Q: How often should I log my time?
A: Daily is best for accuracy. At minimum, weekly before submission deadline. The sooner after doing work, the more accurate your entries will be.
Q: Can I edit my timesheet after submitting?
A: No. Once submitted, only your manager can make it editable again by rejecting it. If you need changes, contact your manager immediately.
Q: What if I forget to submit my timesheet?
A: Submit as soon as you remember and notify your manager. May delay payroll processing. Check your organization’s late submission policy.
Q: How detailed should my time descriptions be?
A: Detailed enough that your manager (or client) understands what you accomplished. Include specific tasks, deliverables, or outcomes. Avoid vague terms.
Q: Can I see my coworkers’ timesheets?
A: No, timesheets are confidential. Only you, your manager, and HR/payroll can view your timesheet. Managers can see their direct reports only.
Project & Client Tracking
Q: What if I work on a project that’s not in the system?
A: Contact your manager or project administrator to have the project added. Don’t log time to wrong project – wait for correct project to be created.
Q: Can I split time across multiple projects in one entry?
A: No. Create separate entries for each project. This ensures accurate project tracking and budget management.
Q: What if a project goes over budget?
A: Log your actual time accurately. Your manager will address budget issues with project manager or client. Never under-report time to stay within budget.
Q: How do I know which client/project to charge?
A: Check with your manager or project lead. If you’re unsure, ask before logging time. Incorrect allocation affects client billing.
Billable Hours
Q: When should I mark hours as non-billable?
A: Mark non-billable for: – Internal meetings – Training/professional development – Administrative tasks – Rework due to your errors – Pro bono work – Time your manager requests to be non-billable
When in doubt, ask your manager.
Q: Can I see my billable hour target?
A: Yes, if your organization sets targets. Check your dashboard widget or ask your manager about expectations.
Q: What’s a good utilization rate?
A: Varies by organization and role. Typical targets: 70-85% for consultants/client-facing, 50-60% for internal roles. Ask your manager about expectations.
Q: What if I’m not meeting my billable hours target?
A: Discuss with your manager. May need more client projects assigned, better time management, or target adjustment based on available work.
Technical Questions
Q: Can I enter time in hours and minutes instead of decimals?
A: Yes. System accepts both formats. Set your preference in Settings. System converts automatically.
Q: What if I make a typo in a submitted timesheet?
A: Contact your manager immediately. They can reject it so you can make corrections, or they may be able to make minor edits themselves.
Q: Can I use Office 1 Solution offline?
A: Limited offline capability in mobile app. Full timesheet entry requires internet connection. Use notes app if offline, then enter when online.
Q: Can I import time from other tools?
A: Depends on integrations available. Check with your system administrator. Some organizations integrate with project management tools.
Q: How far back can I enter time?
A: Depends on your organization’s policy. Some allow backdating within current/previous period. Older entries may require manager approval. Check with your manager.
Manager Questions
Q: What’s my responsibility as a timesheet approver?
A: Review for accuracy, completeness, and appropriate project allocation. Ensure descriptions are adequate. Approve or reject with feedback. Monitor project budgets.
Q: How much detail should I expect in time descriptions?
A: Enough to understand what was accomplished. Should justify billable hours to clients if applicable. Set clear standards for your team.
Q: What if an employee consistently submits inaccurate timesheets?
A: Provide feedback, training, and clear expectations. Document pattern. Escalate to HR if not improving. May affect performance reviews.
Q: Can I edit employee timesheets directly?
A: Limited editing capability (minor corrections). For major changes, reject and have employee correct. Maintains accountability and audit trail.
Q: What if I’m going to be out of office during approval period?
A: Delegate approval authority to another manager (if system allows), or approve early, or arrange for remote access. Communicate timeline to your team.
